Club Case Study: Cheltenham & Gloucester's proactive safeguarding stance
This change to improving their safeguarding practices came on following a historic safeguarding incident and a period of rising behavioural concerns, which led to recognising the need for a more robust, transparent and accoutable system.
Since then, the club has transformed its welfare approach, creating a safer, more confident environment for all members.
Previously at the club, welfare concerns were managed informally, relying on conversations, committee oversight and basic documentation. While minor issues were addressed, there was no centralised system to record concerns, track actions or identify repeated behaviour.
A significant safeguarding incident several years ago exposed these limitations. Without a secure reporting structure, the club lacked a clear record of what had happened, how it was handled and whether any previous concerns had been raised.
“We realised that without proper documentation, it was impossible to spot patterns or ensure consistency,” said a club spokesperson. “We need a system that protected both our members and our volunteers.”

Today, Globocol is at the centre of Cheltenham & Gloucesters's welfare processes. The Club Welfare Officer (CWO) uses it to log concerns, document investigations, upload supporting evidence and record outcomes. This includes statements and screenshots all being stored in one secure place.
One of the most impactful decisions the club took was adding a direct reporting link to its website. This allows any member or external stakeholder to submit a concern confidently, without needing to approach a committee member in person. The CWO reviews each submission and manages the case through Globocol, ensuring a consistent, transparent process.
“This option is especially important for members who may feel uncomfortable raising concerns face-to-face. It gives everyone a safe route to speak up,” added the spokesperson.
The system has also reduced administrative burdens. Instead of relying on memory, emails, or informal notes, the CWO can track actions step-by-step, ensuring nothing is missed. The committee benefits from clearer oversight, and decisions are better informed thanks to accurate historical records.

Globocol has significantly improved the club's organisation, efficiency, and confidence in handling welfare matters. With a clear structure in place, concerns are managed more consistently, and members know there is a reliable process they can trust.
The club believes this will strengthen member engagement and retention over time, as players feel reasured that their wellbeing is taken seriously. The ability to identify repeated behaviours or patterns also supports early intervention, helping maintain a positive club culture.

The club found Globocol straightforward to set up and use, with no significant challenges during implementation.
Adding the reporting link to the website was simple, and the system has integrated smoothly into the CWO's workflow. Looking ahead, the club is confident that Globocol will continue to support a safer, more transparent environment for everyone involved.
